General

  1. Bookings will only be accepted for organisations that have been approved by SEHCO.
  2. All bookings are subject to availability and acceptance by SEHCO on receipt of a completed booking form.
  3. Organisations will be asked to provide a copy of their Public Liability cover, where appropriate a risk assessment for the activity may be requested.
  4. All booking fees must be paid in full within 14 days of invoice.
  5. If you need to cancel your booking you must give us 7 days notice prior to your booking.  There will be a cancellation fee if you fail to do this.
  6. The maximum number of people to attend has been assessed by the Fire Officer. This figure is not to be exceeded. Please refer to the specific facility conditions for capacity information.
  7. For facilities equipped with kitchens, the customer / group must supply their own refreshments.
  8. No smoking is permitted in the building.
  9. Unless otherwise stated, no alcohol is to be consumed on the premises.
  10. All emergency exits must be kept clear and unlocked whilst the centre is in use.
  11. No loud music or noise is to be made that may cause a disturbance to neighbours / residents.
  12. The customer making the booking must take full responsibility for the activity/function and participants must take responsibility for their own health, safety and personal belongings whilst using the facilities. There must be a named person responsible for the activity.
  13. The customer booking this facility will be responsible for any damage or breakages to equipment in the building.
  14. The customer will also be responsible for ensuring the building is left in a clean and tidy condition. Any costs incurred by SEHCO in this respect will be re-charged to the customer.
  15. SEHCO does not accept any liability for loss or damage to personal items.
  16. Please be aware of other facility users and do not enter the building more than 30 minutes before the start of your session time unless otherwise agreed.
  17. Please be aware that there may be a booking immediately after yours and you must vacate the building at the stated time.
  18. The building is to be cleared by 21:00hrs (9pm).
  19. It is your responsibility to ensure that the building is fully locked and secure after use, including:-
    1. Emergency exits
    2. All lights must be switched off
    3. Where applicable, IT suites and any other used appliances must be switched off
    4. If you turn on the heating please remember to turn it off as well
    5. If failure to comply with the above conditions results in any damage or loss, the booking organisation will be held responsible.

Facility-specific Conditions

  1. The maximum number of people to attend (40) must not be exceeded.
  2. Visitor parking bays should only be used when parking on site. These are allocated at the far end of the car park that do not have numbers as shown in the diagram below:-
Parking at St Mary's

Please be aware that the person booking the event must collect and return the keys from the First Wessex Reception Desk, 3rd Floor Peninsular House, Wharf Road, Portsmouth PO2 8HB. This must be done between 9am – 3pm Monday to Friday. On arrival please call ext 6886.

  1. The maximum number of people to attend (25) must not be exceeded.
  2. The emergency exit to the garden must be unlocked whilst using the room. The garden is NOT for your use, it is for sole use of the residential accommodation.

Please be aware that the person booking the event must collect and return the keys from the First Wessex Reception Desk, 3rd Floor Peninsular House, Wharf Road, Portsmouth PO2 8HB. This must be done between 9am – 3pm Monday to Friday. On arrival please call ext 6886.

Additional Information

You will be supplied with 3 keys:-

  • Red key – front door top lock – pull the handle slightly forward
  • Green key – front door bottom lock
  • The third key is the emergency exit to the garden – unlock the door whilst using the room.  The garden is NOT for your use, it is for sole use of the residential accommodation.
